Lassan talán az összes kolléga átáll a számítógép használatára, kivesznek a fénymásolt jegyzőkönyvek. (illetve az 5000 Ft-os kategóriába kerülnek).
Az igazán hatékony munkavégzéshez mégsem elég a számítógép, ugyanis több korlátja van:
- nem lehet kivinni a helyszínre még a laptopot sem, mert egy üzemet nyitott laptoppal bejárni ehyrészt nehézkes, másrészt a porba senki sem teszi le szívesen, kézben tartva pedig (a sokszázezres kifordítható érintőképernyős gépeket kivéve) használhatatlan
- emiatt a helyszínen mindenképpen papírra kell jegyzetelni, és azt később gépre kell vinni.
A papírról-gépre módszer hátránya, hogy hibalehetőséget jelent, másrészt kulimunka, ami nem teremt értéket. Másik hátránya, hogy ha előnyomott jegyzőkönyvmintákat, kérdéslistákat visz magával az ember, akkor vagy rengeteg papírt hurcol, vagy pont az nincs ott, ami kéne.
Megoldás
Ezt a problémát én úgy oldottam meg, hogy vettem egy kéziszámítógép (PDA)-telefon-navigáció(GPS) kombinációt.
Telefon mindenképpen kell, a GPS is igen hasznos, ha ismeretlen területre megyek ügyfélhez, ugyancsak kínos eltévedés miatt késni, de ezek csak segédfunkciók.
Az igazi titkárnőhelyettesítő a PDA funkció. Ezen a szövegeszerkesztő (Word) és a táblázatkezelő (Excel) legtöbb megszokott funkciója működik, ezért a használatos dokumentumaimat (gépvizsgálati jkv-k, kérdéslisták, legfontosabb jogszabályok) felvittem rá, úgy hogy az eldöntendő kérdéseknél a legjellemzőbb válaszok előre be vannak állítva.
Az ügyfélnél
A helyszínen csak megnyitom a megfelelő dokumentumot, végigmegyek rajta, és az eltéréseket beírom. Ha az ügyfél meglátja a “technikát” már nem kell bizonygatnom, hogy komolyan foglalkozom ezzel a dologgal, eszébe sem jut hogy ilyen “célszerszámokkal” kókler lennék.
Ha hazamegyek, akkor egy másolás-beillesztéssel csak átteszem az eredményeket a számítógépes jegyzőkönyvbe (ott több a formázási lehetőség), esetleg kiegészítem bővebben a leíró részeket, ui. hosszú szövegeket nem haladós PDA-n gépelni (azt rámondom a hangrögzítőjére)
Ezzel a kézi munka meg is szűnt, a hibalehetőség kiesett.Ezenkívül a legfontosabb jogszabályokat is rátettem, így nem tudnak zavarba hozni az értelmezéssel, mert csak megnyitom a jogszabályt, és megmutatom, hogy van szó szerint. (jobb itt rögtö, mint egy fellebbezésben)
A PDA-GPS kombináció ára már nettó 45-50 eft-nál kezdődik, és aki sokat autózik, előbb-utóbb úgyis venne, vagy karácsonyra kap:) legalább egy PNA-t (ami csak navigációra jó).
Ha már elég sokan használnak PDA-t, akkor az általam használt anyagokat is kiadom CD-n, ne kelljen mindenkinek feltalálni a spanyolviaszt.
